Shipping Policy

1. Processing Times

Orders are typically processed and prepared for shipment within one to two (1-2) business days of order confirmation. Business days are Monday through Friday, excluding U.S. federal holidays. Orders placed on weekends or holidays will be processed on the next business day. Processing time may be extended during high-volume periods, inventory verification delays, or when additional researcher verification is required.

You will receive an email notification when your order ships, with tracking information.

2. Shipping Carriers

We ship via the United States Postal Service (USPS) and FedEx. The available carrier and service level depend on your delivery address, package weight and dimensions, and selected shipping speed at checkout. We reserve the right to substitute carriers as needed to ensure timely and reliable delivery.

3. Shipping Rates and Speed

Shipping rates are calculated at checkout based on the destination, weight, and selected service level. Typical service levels include:

  • Standard Ground -- typically 3-5 business days after shipment;
  • Expedited -- typically 2-3 business days after shipment;
  • Overnight -- typically next business day after shipment, subject to carrier cutoff times.

These delivery estimates are provided by the carriers and are not guaranteed. Actual delivery times may vary due to factors outside our control, including weather, carrier capacity, and address accessibility.

4. Free Shipping

Orders with a merchandise subtotal of one hundred U.S. dollars ($100.00) or more, after any discounts and before tax, qualify for free Standard Ground shipping within the contiguous United States. Free shipping does not apply to expedited or overnight services. Free shipping does not apply to orders shipped to Alaska, Hawaii, U.S. territories, or any international address.

5. Shipping Destinations

At this time, we ship only to addresses within the fifty (50) United States and the District of Columbia. We do not currently ship to:

  • International destinations;
  • U.S. military APO/FPO/DPO addresses;
  • Freight forwarders or third party shipping consolidators;
  • P.O. boxes for products requiring signature on delivery.

If we cannot ship to your address, you will be notified at checkout or after order placement and a full refund will be issued.

6. Order Tracking

A tracking number will be emailed to you once your order ships. You can also view tracking information in your account order history. Please allow up to twenty-four (24) hours after shipment notification for tracking information to become active in the carrier's system.

7. Address Accuracy

You are responsible for providing a complete and accurate shipping address at checkout. We are not responsible for delays, additional charges, or undelivered packages resulting from incorrect or incomplete addresses. If a package is returned to us due to an incorrect address, we will contact you to arrange reshipment at your cost or provide a refund for the merchandise (less shipping and any applicable restocking fees).

8. Lost or Stolen Packages

Once a package is marked as delivered by the carrier, responsibility for it transfers to the recipient. If your tracking shows delivery but you cannot locate the package, please:

  • Check with neighbors and household members;
  • Look for a carrier delivery notice;
  • Check around the delivery location, including porches, garages, and side entrances;
  • Contact the carrier directly to inquire about the delivery.

If a package is genuinely lost or stolen, please contact us at support@affinityvials.com within seven (7) days of the marked delivery date. We will work with the carrier to investigate. Resolution may include carrier insurance claims, reshipment, or refund at our discretion.

9. Damaged Shipments

If your shipment arrives visibly damaged, please document the damage with photographs of the exterior packaging and contents before opening the products further. Contact us at support@affinityvials.com within forty-eight (48) hours of delivery with the photographs and your order number. See our Returns Policy for resolution options.

10. Temperature-Sensitive Products

Certain products are temperature sensitive and benefit from cold-chain shipping. Where applicable, we use insulated packaging and cold packs to maintain temperature stability during transit. Despite these measures, products may be exposed to ambient temperatures during shipment. Upon receipt of a temperature-sensitive shipment, you should:

  • Open the package promptly upon delivery;
  • Inspect the cold packs and packaging;
  • Transfer products to appropriate storage (refrigerated or frozen as indicated) immediately;
  • Contact us if the product appears compromised.

We recommend selecting expedited shipping for temperature-sensitive products during warmer months. We do not guarantee product condition where standard shipping is selected for temperature-sensitive items and ambient temperatures may have affected the shipment.

11. Order Modifications and Cancellations

Once an order has entered processing, we may not be able to modify or cancel it. If you need to change or cancel an order, contact us at support@affinityvials.com immediately. We will make reasonable efforts to accommodate the request but cannot guarantee it.

12. Customs and Duties

Because we do not currently ship internationally, customs duties and import taxes are not applicable to orders fulfilled through our website.
